Export Documentation

Standard Documents for Export Shipments

  • Commercial Invoice multiple copies
  • Detailed Packing List multiple copies
  • Copy of the Letter of Credit, Purchase Order, or Sales Contract
  • Relevant correspondence related to the shipment
  • Export Declaration form
  • GR Form, filled in duplicate and stamped with your company seal
  • Freight Certificate, signed and stamped
  • Permanent Account Number (PAN) of the exporter
  • Importer-Exporter Code (IEC) issued by the relevant licensing authority
  • Shipping/forwarding instructions in the prescribed format
  • Quota Certificate or E.I.A. Certificate, where applicable

Additional Documents for Exports under DEEC / DEPB Schemes

  • Proforma Invoice (two copies)
  • DEEC / DEPB passbook or the corresponding application along with the acknowledgment receipt
  • Applicable scheme declarations

Additional Documents for Duty Drawback Claims

  • Drawback claim copy of the Shipping Bill, signed on the reverse over the revenue stamp with company seal
  • Bank account details (name, address, and account number) for crediting the drawback amount
  • Drawback serial number
  • For shipments through a merchant exporter — the manufacturer’s name and address on the invoice, along with a certificate from the Central Excise Department confirming Modvat credit availed on the goods supplied

Additional Documents for Exports Cleared from Mumbai

  • E.D.I. Number allotted by Mumbai Customs — if not already obtained, registration must be completed prior to export
  • N-Form and accompanying undertaking, duly signed and stamped
  • Any shipment-specific requirements — such as palletisation, fumigation, phytosanitary certification, SGS inspection, or commission details to be declared on the GR — should be communicated at the time documents are submitted

Import Documentation

Documents Typically Required for Import Consignments

  • Importer-Exporter Code (IEC) issued by the relevant licensing authority
  • Permanent Account Number (PAN) of the importer
  • Signed copy of the Commercial Invoice
  • Signed copy of the Packing List
  • Bill of Lading or Airway Bill
  • Insurance policy or cover note
  • Import License / CCP along with letter of transfer or authority — where the license is linked to another Bill of Entry, a photocopy may be used for initial processing, though the original is needed before the goods can be released. Alternatively, an OGL declaration citing the applicable appendix/list/serial number, plus Industrial License or SSI Registration Certificate (with English translation if the original isn’t in English)
  • Importer’s Declaration and GATT Declaration, signed and stamped
  • Certificate of Origin
  • Product literature, certificate of analysis, catalogue, or technical write-up
  • Purchase Order or Order Confirmation
  • No Commission Declaration; for cargo in bags or drums, a packing material declaration per the applicable public notice
  • Freight memo with bank freight certificate, when freight is payable in India
  • Bank Draft or Letter of Credit
  • Original shipping documents duly endorsed to you by your bank, and further endorsed by you in our favor, along with a bank-attested invoice — or alternatively, a letter of authority (three copies) on your letterhead authorizing us to collect the delivery order, together with the bank’s delivery order and attested invoice

Conditional / Case-Specific Documents

  • Original DEEC / DEPB documents with the relevant declarations
  • Concessional duty certificate issued by DGTD or another sponsoring authority
  • Ad hoc exemption certificate, along with the end-use bond
  • N-Form and undertaking (for clearance at Mumbai)

When Cargo Is to Be Bonded at a Warehouse

  • Double-duty bond
  • Transit bond
  • Space availability certificate from the warehousing authority
  • No Objection Certificate from Customs / Central Excise
  • Insurance policy covering the duty amount, in favor of the Commissioner of Customs, for transit from the port to the public bonded warehouse
  • A re-warehousing certificate should be obtained from the appropriate authority so the bond can later be cancelled — please confirm in advance whether the shipment is meant for home consumption or bonded storage
  • Please also share the name of the transporter handling dispatch after clearance, along with the delivery address
